| | At one of the trainings for Crystal reports it was mentioned that we may not have access to Crystal enterprise when we "go live". Did we purchase crystal enterprise and will it be up and functioning when we go live in July?
|
| Will we have "read only" access to SIS legacy during the transition period from SIS legacy to SIS (from June 30-July 5)?
| You would have read only access to SIS once the SIS Fiscal Year end process has completed. |
| Will IND remain the course prefix? | Yes, as far as I know there were no changes to the credit courses ID structure. All District Curriculum Committee and Governing Board Approved Subjects (Prefixes) will remain, including IND. |
| Colleges currently use the Student Information Form (SIF) to admit students, I saw the "Quick Admit" process demonstrated during the College presentation. Is "Quick Admit" the only way in which to admit a student in the new system? | The new systems' delivered functionality has two methods by which to admit students; however, during Baseline it was determined that the "Quick Admit" process most closely mirrors current SIS processes. |
| How is the student id used throughout the system? | After student data is entered into the new student system through the Prospect (Recruitment) process, the "Quick Admit" process, or the Student Self-Service process, the system self-generates a random ID number creating the single student record for campus use.

| Once student course work has been evaluated and posted by a College, who can change that evaluation? | The students course work is stored on the Education page which is shared data. Any college can use the course work to do a transcript evaluation. Evaluations are completed per college and are not shared. MCCD policy is to evaluate courses only as defined in District Articulation Agreements. Any exceptions or overrides should be made on the degree audit side and not on the transcript evaluation. |
| Can credit hours be transferred and converted to clock hours if a student transfers from a college to the Skill Center and vice versa? | The system has the capability of converting clock hours to credit hours and credit hours to clock hours. Current Maricopa policies are in place that would be used to hours according to the rules. |
| Will the new student system recognize when a student has enrolled in seven-plus credit hours and will the system calculate tuition according to Maricopa policy? | The system will recognize the difference between 6 or less and 7 or more credit hours and will calculate tuition correctly. |
| When will you present a demonstration on building a class schedule? | As the new student system Project team prepares for demonstrations this Fall, we intend to include schedule building along with Maricopa specific data items for the presentation. |
| Who will control the security access? | Security will be maintained at several levels. College specific access will be done similar to current, those features that require cross-college access may be best served coordinated by a single office. |
| Does the Course ID in one class allow for concurrent sections or multiple courses (Skill Center)? | The New Student System refers to these as Associated Classes but has the same functionality. |
| Will something be set up to post third-party billings? | Yes - billings, charges, payments, refunds, and Aging. |
| How will a third-party subcodes be entered into a student's account? | Current SIS subcodes will be replaced by Item Types. The Item Types for Third Parties will identify any special rules for that Third Party. The cashier will attach the appropriate Third Party Item Type to a student, or to a student's specific class(es.) |
| Will eligibility for tuition waivers be set up on the new student system, or will we look under the Netscape? | erification of employment (waiver eligibility) will still need to be looked at through Netscape or some other HR defined method, however, rules for waivers have been set up in the NSS. |
| How will missing grade reports be flagged? | There will be a report developed that will extract that information. |
| Does the system generate a physical roster (manual vs. scanning)? | Yes, you can input grades on-line or print rosters and assign grades as is current practice. |
| Can you see detail cost per class? | Yes. All charges are listed on the student's account in summary form; however, you can move down to see the detail, including lab and course fees - per class. |
| Currently, SIS has a finite number of registration notes that can be attached when building the schedule of classes. Will the new student system have the option for colleges to enter course specific registration notes to inform students of software fees. | Yes, this is a great function of the NSS. Standard class notes will be built for each campus that has indicated a need. A college can also assign specific notes at random. |
| Can each college modify registration notes to meet specific course needs that are available to students when they register online or in person? | Yes, this is a great function of the NSS. Standard class notes will be built for each campus that has indicated a need. A college can also assign specific notes at random. |
| It is important when building the schedule to have the option to assign several instructors (10+) to one course and several rooms (6+) to one course. | You can assign multiple instructors and rooms without specific limits. You can even assign specific instructors or rooms by date. |
| Will the system be able to access transfer work from other MCC\D campuses or other evaluated transfer credits so a student can meet a pre- or co- requisite in order to register online? | Yes, the system will be able to access the students transfer work as long as the student has requested it to be transferred and it has been entered and evaluated by the system. |
| Can the NSS SA Product Demonstration be in more depth for future presentations? | Yes. The current plans are to build upon the detail that has been presented during the Product demonstrations. We have showed the same level of detail at all colleges and will be going more in-depth some time this Fall. |
| What is the internet browser of choice? | Internet Explorer (IE) is the browser the District will support for the new student system application. |
| Will the new system let a student register for a class if a prerequisite has not been met? | No, but with the proper security, this feature can be overridden. The system will automatically check and if the student meets the prerequisite they will be able to register. |
| Can we add notes that would not be available for students to view? | Yes. |
| Can the college make specific modifications to the system for their needs? | The system can be modified, but the real question is should the system be modified. Discussion of specific needs requirements must be understood in detail before implementing any system modifications. |
| Does the new student system have 3rd party billing capabilities? | The new student system has an extensive 3rd party billing sponsorship that will replace the current LMS system. The SF team is reviewing this function currently. |
